Caller rings
A patient calls your normal clinic number.
AIGEN answers overflow and after-hours patient calls, captures the enquiry and either books directly where supported or sends a clear summary to your reception team.
The enquiry moved from first question to confirmed next step.
Speak naturally as if you were calling a dental clinic. The AI is trained on approved services, opening hours, FAQs, pricing guidance and booking processes.
A simple overflow system that supports reception without replacing your team.
A patient calls your normal clinic number.
When reception is busy, closed or unable to answer, the AI picks up.
The reason for calling, urgency, contact details and preferred next step are logged.
A clean summary, transcript, recording and follow-up status are available in the AIGEN business app.
AIGEN configures the call flow, trains the AI on your clinic’s approved information, tests it before launch and keeps improving it after real patient calls begin.
Your services, opening hours, approved FAQs, escalation rules and preferred patient experience.
We run realistic call scenarios and adjust the flow before real customers reach it.
Calls are reviewed and the system is refined as we learn how your callers actually behave.
You deal with a real Irish-based partner rather than being left with a login and a help centre.
The AI handles the conversation. The business app shows your authorised team what happened, what information was captured and what needs attention next.
Example interface shown for illustration. Available activity depends on the selected plan and supported integrations.
In a live deployment for a Dublin tyre business, AIGEN answered and organised 15 calls that would otherwise have reached voicemail. The system triggered 51 follow-up actions and directed seven of those callers towards booking.
One day could cover the monthly service—and more.
AIGEN can send clear enquiry summaries directly to your team without changing your current software. Where suitable access exists, calendar, CRM, PMS and booking workflows can also be connected.
We set AIGEN up, test it on real calls and tune the call handling during the pilot. Keep it only if you’re happy with the results.
Both plans include managed setup, testing, call-flow configuration, monitoring and ongoing optimisation.
A managed call-answering and follow-up layer with the AIGEN business app, for clinics that want every patient acknowledged without the AI writing into practice-management software.
The managed service and business app above, with a defined connection to one supported practice-management system.
Yes. It listens, responds conversationally, asks follow-up questions and adapts based on what the caller says. You can choose from different natural voices and speaking styles.
A standalone clinic setup can usually begin testing within a few working days once the approved information and call flow are supplied. PMS-connected projects require a separate discovery, implementation and testing process.
It does not invent information. It can explain that the team will follow up, capture the caller’s details and send the enquiry to the correct person.
Yes, on the PMS Connected plan where a supported connection is available. The standard connected package covers one supported PMS and up to five approved appointment types. Anything outside those rules is captured and passed to reception for confirmation.
The system can provide the caller’s details, enquiry outcome, urgency, call summary, full transcript, recording and follow-up status inside the AIGEN business app.
Yes. Human handoff and escalation rules can be built around the situations that matter to your business.
No. Your existing number can normally forward unanswered, overflow or after-hours calls to the AIGEN system.
Call and AI usage are billed separately based on actual use. Combined usage is typically around €0.10–€0.20 per minute, depending on the provider, call route and voice configuration. We estimate likely monthly usage before launch and monitor it so there are no unexpected costs.
Caller information is processed securely through cloud-based systems and passed to your team for follow-up. AIGEN is designed with GDPR and data protection in mind, with access limited to authorised users and the information used only for handling the enquiry.
Initial build, testing, call review, optimisation, approved information updates and direct Irish-based account support are included.
Prices vary because AI receptionist systems are not all built the same way. The model, voice quality, speech-to-text, call-flow design, setup work, monitoring, integrations and support can all be very different. A cheaper tool may be fine for basic message-taking, but it may also mean more DIY setup, lighter support or less call optimisation.
Price matters, but your phone is often the first contact a new customer or patient has with your business. If the AI sounds robotic, misunderstands callers, fails to capture the right details or leaves your team with weak summaries, the cheaper package can do more harm than good.
AIGEN is not just a login or a phone bot. We set up the call flow, use your approved information, test realistic call scenarios, monitor early calls, improve the AI over time and keep you informed with useful updates. You are not left to configure and manage everything yourself.
It covers one clinic, one supported PMS and up to five approved appointment types, including agreed availability checks, booking, rescheduling and cancellations. Deposits, WhatsApp workflows, recalls, multi-location rules and deeper custom integrations are scoped separately.
Book a short call and we will map the system around your reception process, busiest call periods and most common patient enquiries.
